01/03/23Welcome and Introduction
Summary of Discussion:   PW welcomed all to the meeting and thanked them for coming.

Summary of Discussion:   Apologies from Jenny Cooper (JC) were received and accepted.
03/03/23Minutes of Previous Meeting dated 30th November 2022
Summary of Discussion:   The minutes were accepted as a true record of the meeting.
04/03/23Matters Arising
Summary of Discussion:   Noticeboard – Dean Bonsall has re-waxed the noticeboard, oiled the lock and put a bolt at the top and bottom. IW to re-wax/oil the noticeboard as necessary.   JB has already put some information and posters on the noticeboard. JOD has adapted the Pomeroy leaflet for use on the noticeboard. JOD to add a logo and title to this information. JB to display this updated info on the noticeboard.   Previously we talked about putting a sign on the back of the noticeboard, so that anyone approaching from the roadside would know what the board was about. IW to make a sign saying “The Pomeroy Trust” to go on the back of the noticeboard (or on the top if the sign can’t be seen above the wall).   Stop Tap – When the weather improves, IW and PW to locate the stop tap.
05/03/23Bank Account
Summary of Discussion:   Our current bank balance is £2106.92. We now have all the money in the bank for the 100 club and the calendar sales.
06/03/23Funding
Summary of Discussion:   We have not applied for any further funding.
07/03/23Fundraising
Summary of Discussion:   100 club – JC and RD will draw the numbers for February and March at the end of this month. There are no new members.   Calendars – We made a profit of £260 on the calendars.   Booze Cruise – RD to find out if there is an expiry date.
08/03/23Charity Commission (CC) and Rural Action Derbyshire (RAD)
Summary of Discussion:   We are now in a position to proceed with registering as a Charitable Incorporated Organisation (CIO). JOD to contact Solicitors to see how much this would cost. JOD to contact Helena Stubbs at RAD about our CIO application.
09/03/23Planning
Summary of Discussion:   The planning application reinstate the canopy and the barge boards, replace the windows and doors, re-form the emergency exit ramp, put in a septic tank, remove the chimney and install solar panels was approved. PW noted that one of the conditions of the planning permission was that there shall be no hard surfacing on the paddock to the east of the building. He said that there is an existing car park under all the overgrown grass.   Another planning condition is that no development shall take place until a Written Scheme of Investigation (WSI) for archaeological monitoring/an archaeological watching brief has been submitted to and approved by the local planning authority in writing. JOD to contact several local archaeologists and get a price. SW suggested contacting archaeology students who might be able to do the work. JB to ask County Drains if they have any experience with this work. JOD to contact John Kingsland at Buxton Local History Society for information on the Roman road.   Now we have a schedule of works, a feasibility study and drawings we need costings for the building work. JOD to find names of heritage builders.   Protected species form – this was filled in by the architect for the planning application.   SW suggested having a plaque with the names of those who the hall was built to commemorate on the outside of the hall. Then we could have a ceremony to generate interest as well as give the hall a bit more historical interest. IW to ask Carol if she can play the last post.

Summary of Discussion:   JB asked whether anyone ever gets in touch with us through the website. Any enquiries through the website are automatically directed to [email protected]. There have only been one or two so far.   There hasn’t been anything new on the website for a while. BW suggested asking people to help us put the hall the way it was originally intended e.g., it was built by local people to commemorate the fallen of WW1, but their names were never recorded on the building. We should capitalise on the general support and sympathy for war memorials.
11/03/23Correspondence
Summary of Discussion:   NCVO – Our membership of the National Council for Voluntary Organisations has been renewed. This is free for small charities like ours. They provide advice and information for voluntary organisations which will be very helpful in future (e.g., model policies).   Community Support Group – PW and JB attended the village hall network meeting. JB sent an email summarising this meeting. The main concern was rising energy bills. JB said this was an informal meeting where village hall groups can share information.   Luke Wilkinson – He is offering strategic consulting, coaching and fundraising support to other small charities. JOD to meet with him.   Castlecatt War Memorial Association – Carol McKaig got in touch with us to ask for advice. She was recommended to us by the WMT. They are coming over here in Summer if anyone would like to meet with them.   Derbyshire Dales District Council – JOD has had a council tax bill for the hall. We get relief for the council tax and so the actual bill is zero.
12/03/23Any other business
Summary of Discussion:   JOD is writing a book about Pomeroy, hopefully to raise some funds for the hall. If anyone has any information that could be put into the book, please let JOD know.   JB suggested a future use for the hall – she saw a group on tv called “Remade” who up-cycle old furniture. What started as a group is now a business. This ticks a lot of boxes – mental health, community, environment, recycling etc.   All committee members to let JOD know if they do not wish to stand again at the next AGM.   JOD to do all Word documents in pdf format from now on.
