01/03/22 Welcome and Introduction

Summary of Discussion:

PW welcomed DG to the meeting. Eva White from Sterndale Moor Social Club had also been invited.


02/03/22 Apologies and Expressions of Interest

Summary of Discussion:

Apologies were received from Bridget Dicken (BD) and Sarah Wilson (SW). BD has stepped down from the committee.


03/03/22 Minutes of Previous Meeting dated 30th November 2021

Summary of Discussion:

The minutes were accepted as a true record of the meeting.


04/03/22 Matters Arising

Summary of Discussion:

It was decided to try holding meetings on Wednesdays instead of Mondays. Therefore, the AGM will be Wednesday 29th June 2022, 8pm at The Duke of York Pomeroy.

Website – BW and SW have designed a website for The Pomeroy Trust https://www.thepomeroytrust.co.uk. The website is linked to our Facebook page www.facebook.com/pomeroymemorialhall. We will also have a new email address [email protected].

ACTION: ALL TO LOOK AT THE NEW WEBSITE AND FEED BACK TO BW AND SW.

Hall security – JC reported there had not been any further problems.

Hall grounds – IW has cut down some of the trees. Communications – messages requiring a response will be marked high importance and clearly marked “urgent” or “response required.”


05/03/22 Bank Account/Treasurer Report

Summary of Discussion:

JOD reported that the dormant bank account had finally been claimed and we had also been awarded compensation.

Income this year is from raffles, 100 club and the car treasure hunt. Expenditure has largely been on architect fees, the feasibility study and the planning application.


06/03/22 Funding

Summary of Discussion:

Noticeboard – JB has submitted a funding application to the Better Derbyshire Dales Fund. The next round of funding will be decided on 5th May. The noticeboard will be on the grass at the far side of the pub car park.

War Memorials Trust – The WMT have given us another extension until Sept 2022 to claim the funding as we have not yet received the final bill from the Architect.


07/03/22 Fundraising

Summary of Discussion:

100 Club – Carol Webster won in February. Lucy Dicken won in March. JC to do some flyers to put in the pub to recruit new 100 club members.

Christmas raffle – we had another successful raffle at Christmas with 17 prizes donated by committee members and local businesses. This raised £384 for the hall.

Future fundraising – JC and RD requested ideas from the committee.

Photo competition – BW and JC entered us into the Village Hall’s photo competition. We didn’t win but we do have lots of good photos for the website and to put in a fundraising calendar.


08/03/22 Charity Commission (CC) and Rural Action Derbyshire (RAD)

Summary of Discussion:

Helena Stubbs (RAD) sent us the new ACRE Charitable Incorporated Organisation (CIO) constitution to have a look at and an ACRE information sheet on corporate charities. Helena recommended making a start on preparing our CIO Constitution but waiting for the outcome of the planning application before sending it to the Charity Commission.

In principle, the committee were agreeable to becoming a CIO. The decision on the planning application is expected around 25th April.


09/03/22 Feasibility Study

Summary of Discussion:

JB said that the architect had been in touch about the planning application. Planners would normally expect to see a sewage treatment plant in the application rather than a septic tank.

ACTION: JB TO SPEAK TO ALEX DRENNAN AT COUNTY DRAINS ABOUT DOING A SURVEY TO HELP

US DECIDE BETWEEN SEPTIC TANKS AND SEWAGE TREATMENT PLANTS.

Other queries raised so far are:

Solar panels – it was decided that solar panels are not viable as PDNPA planners want to put them on the rear half of the roof, but then they will be north facing. Parish Boundary Stone – PDNPA archaeology department wanted us to check where the boundary stone is as this cannot be moved. Widening the gateway will not need to disturb this stone.

Roman Road – We need to find out exactly where this runs.

Lead Vein – We need to find out exactly where this runs.


10/03/22 Correspondence

Summary of Discussion:

The DDDC Better Derbyshire Dales Fund have contacted JOD to ask whether or not we have spent their grant.

DG invited us to a meeting of other local village halls.
