04/11/22 Matters Arising

Summary of Discussion:

Noticeboard – The noticeboard has been installed. We are producing more information to go on display on the noticeboard.

Stop Tap – IW and PW to go back and look for the stop tap.

05/11/22 Bank Account

Summary of Discussion:

The current balance is £2923.00. Money has come in from the Better Derbyshire Dales grant, the 100 club and calendars. Money has been spent on buying calendars, the noticeboard, indemnity insurance and a water map. The War Memorials Trust has approved our grant claim of £3390. After paying the final architect’s invoice, we have about £1000 of our own funds remaining. The last two years accounts have now been independently audited and approved and the auditor has offered to look at our accounts again next year. This was very kindly done for free.

06/11/22 Funding

Summary of Discussion:

As previously reported, we received £568 for the noticeboard from the Better Derbyshire Dales Fund and the full £3390 for the feasibility study from the War Memorials Trust. Both the joiner’s invoice and the architect’s invoice have now been paid.

07/11/22 Fundraising

Summary of Discussion:

We now have 36 members of the 100 Club. The winners of the 100 Club were number 22 Christine Riley (Sept), number 24 Bridget Dicken (Oct) and number 7 Joan Bonsall (Nov).

JC attended the Earl Sterndale Christmas Fair. After expenses we made a small profit. JC to do a thank you for the cake donation.

We have 10 calendars left, available from the Duke of York. We will put a sign on the noticeboard to advertise the remaining calendars.

There isn’t going to be a Christmas fair at The Duke of York this year.

JC and RD to look into an event after Christmas to offer a prize which was donated but, as yet, we have been unable to use.

08/11/22 Charity Commission (CC) and Rural Action Derbyshire (RAD)

Summary of Discussion:

There is no point applying to be a Charitable Incorporated Organisation (CIO) until we know the outcome of the planning application. Helena at RAD knows we have had to re-submit our planning application and is waiting for further news from us.

09/11/22 Feasibility/Architect

Summary of Discussion:

Our revised planning application will have to go before a full planning committee. The next available one is 27th January. There is an opportunity for us to attend this meeting where we would be allowed to speak for three minutes. PW to take off the top layer of grass to expose the chatter underneath and find out the true extent of the car park.

The committee decided to discuss what we will do if we don’t get planning permission when the outcome of the full planning meeting is known.

10/11/22 Website

Summary of Discussion:

There was nothing further to report.

11/11/22 Correspondence

Summary of Discussion:

We have had a request for rent, lease or ownership details for the Hall from The Valuation Office Agency. JOD has replied to this letter as failure to do so could result in a fine of at least £100. An acknowledgement of our reply was sent from the VOA on 7th Nov.

12/11/22 Any other business

Summary of Discussion:

JB asked if PW had heard anything from David Gordon about the local village hall committees meeting. PW will ask David about this about this when he sees him. JOD to chase up with Keith from Hartington.

JB suggested The Pomeroy Trust donate to the defibrillator fund at The Duke of York. The committee decided to donate privately as Trust money is for the hall. RD confirmed that the defibrillator fund was short by about £600.

JOD entered three of the five categories within the Village Halls podcast competition (unsung heroes, project of the year and inspirational story). Two podcasts are released per month and the latest podcast (s2 ep22) says that in the next podcast the winner of one of the five categories will be revealed. The podcast is available here: https://thevillagehallspodcast.com/
