Summary of Discussion:

There were no comments. JB proposed approval of the minutes. IW seconded. The minutes were accepted as a true record of the meeting.

All present signed a copy of the constitution.

PW signed a copy of all previous meeting minutes.

JOD to put a public copy of the latest minutes on our Facebook page.

04/09/20 Matters Arising

Summary of Discussion:

Duke of Edinburgh:

LM had not had chance to ask his contacts. JOD had contacted the Duke of Edinburgh Award Scheme to see if they would be interested in using the hall as a bunk barn. No reply had been received.

Accountant Firm where David Kirk was based:

JB had contacted the Accountants firm where David Kirk was based. David Kirk and Mary Melland had spoken about getting new trustees in 2003. This was never recorded, and the discussion never resulted in action.

JB also contacted her late parent’s solicitors to check whether any mention of Pomeroy Hall had been made to them. Again, they had no information.

Rural Action Derbyshire (RAD):

Helena Stubbs (RAD) is proceeding with registration with the Charity Commission. We have decided to register for now as a charitable trust.

IW proposed that The Pomeroy Trust register as a charitable trust. Seconded by JC.

JOD to instruct Helena Stubbs to register The Pomeroy Trust as a charitable trust.

05/09/20 Insurance

Summary of Discussion:

PW has not yet been able to repair the floor.

We now have both buildings insurance and trustee indemnity and we have thanked the parish council for their generous contribution.

The insurance policy prohibits heating, especially by portable heaters. JOD to inform BDL.

06/09/20 Buxton Drama League

Summary of Discussion:

BDL have not yet provided our committee with a copy of the key to the hall. The Pomeroy Trust have served six months notice on BDL to vacate the hall.

Awaiting further instructions from our Solicitor.

07/09/20 Fit for Funding

Summary of Discussion:

Elanor Hazlehurst had provided her initial report which was shared with all the committee. There were no further comments. We have asked Elanor to conduct a “local needs survey.”

08/09/20 Feasibility/Architects

Summary of Discussion:

All committee members had received the three architect’s quotes. JB has been obtaining references for each architect and has been “interviewing” them to help us to choose between them with the help of questions from Elanor Hazlehurst (no one had any particular preference). JOD is looking into sources of funding.

09/09/20 Land Registry

Summary of Discussion:

The land registry application has been submitted and we are waiting to hear from them.

10/09/20 Bank Statements

Summary of Discussion:

LM reported that as of 14th September, there was £437.28 in our account. JC and RD had brought £200 in cash from the 100 club. They will need to keep some of this to give as prize money at the end of the month.

PW to follow up the dormant bank account.

11/09/20 Highways

Summary of Discussion:

JOD had spoken to Andrew Bowling at DCC Highways about the paths in Pomeroy. There is no money at present, but our enquiry will go into the system and may come to the top of the pile one day. Andrew to provide a quote for works.

12/09/20 Water/Electric

Summary of Discussion:

Severn Trent Water – have a water main in the road in front of the hall that should connect to the hall, however their maps don’t show private piping. This will need to be discussed with the architect. BD’s husband has a contact who may be able to access the pipework plans. BD to follow up.

JOD to find out when the water supply was connected.

JOD spoke to Mark Gell at Western Power. He thinks the original supply to the building would have been a mix of overhead line, that has since been dismantled and cable, which isn’t now shown on their plans. The nearest low voltage connection point is on the opposite side of the road. As we are in the Peak Park any new supply would have to be underground cable.

JC had found that originally the electricity cable ran from a telegraph pole in the woods, next to number 9, across the road to the hall. The pole has now been moved to the field next to the woods, but the hall is no longer connected.

Again, we need to ask the architect about renewable such as solar panels.

13/09/20 Funding

Summary of Discussion:

JOD confirmed that we now have enough funding to pay for advice from Helena Stubbs of RAD.

JOD has found enough sources of funding to cover the feasibility study, but we will need to apply.

The money from the dormant bank account will help to cover the feasibility study.

Lots of funds are closed at the moment because they are only funding Covid-related applications.

14/09/20 Fundraising

Summary of Discussion:

JC and RD have been working on the 100 club. Members pay £12 per year for a number. Every month a number is picked, and the winning number receives a prize. We have 26 members at present and we would like to give a prize of at least £20.

Numbers will be drawn via an online random number generator. It would be good to have a big prize this time to encourage people to join the 100 club.

JC/RD to let JOD know about the winners so we can publish it in news and views.

15/09/20 News and Views Parish Newsletter

Summary of Discussion:

Liz Broomhead asked us to provide a longer piece and some photos for the front page of news and views. As we wrote the leaflet about Pomeroy which we can’t give out at the moment, we decided to use this information for the news and views article instead.

We will include an update on the 100 club, information on the grant funding secured and ask for people to come forward who have an interest or know anything about the people on the war memorial at Earl Sterndale.

16/09/20 Correspondence/Any Other Business

Summary of Discussion:

We asked for a reference for Smith and Roper from Tutbury War Memorial. The people who provided the reference (Rick and Jane Nuth) became really interested in our project. Using some of our information, Jane Nuth has done some extra research and created a booklet about the Pomeroy people who served in WW1. These are the people who should commemorated on our War Memorial Hall. All committee members have had a copy of this booklet.

JC hopes to be able to get some local photographs from the owners of 5 Pomeroy Cottages.

17/09/20 Date and Time of Next Meeting

Summary of Discussion:

We decided not to set a date for November just yet, because of the potential for another lockdown. Date to be confirmed nearer the time.

Mondays were agreed to be the best day for everyone (not the third Monday in the month).
